How to write a sales follow-up email after no response
Your first email got silence. That is normal. Here is when to follow up, how many times, what to say, and three short templates you can copy, with every figure credited.
Cold outreach · Follow-ups
Follow up. Add one thing.
Quick answer · How do you write a sales follow-up email after no response?
Wait about three working days, reply in the same thread, add one new useful thing and end with one small question. Plan at least two follow-ups, then change channel. In Backlinko and Pitchbox’s study of 12 million outreach emails (2019), one follow-up lifted replies by 65.8%; in Emailchaser’s 2026 data on 55,329 people, two follow-ups took replies from 0.81% to 1.61%. Both are vendor data.
Most first emails get no answer. In Backlinko and Pitchbox’s analysis of 12 million outreach emails, only 8.5% got a response (2019, vendor data). Silence usually means “busy”, not “no”. A good follow-up gives the buyer a second, easier reason to reply.
When to send a follow-up email
Most replies come fast. Emailchaser timed 1,877 replies to cold emails sent from January to April 2026: half arrived within about two hours, 79% within 24 hours and 91% within three days (Emailchaser, 2026, vendor data).
So waiting a week for the first email to “land” rarely helps. A sensible default is about three working days, then the first follow-up.
How many follow-ups to send
Two datasets, years apart, point the same way. Rated Good Blend (65%) on our Brew Strength scale: real behaviour at scale, but vendor data, not your market.
- Backlinko and Pitchbox (2019), 12 million outreach emails: one extra follow-up lifted replies by 65.8%, and sequences of three or more messages had the best response rate.
- Emailchaser (2026), 55,329 people in three-email sequences: 0.81% replied to the first email, 1.38% had replied after the first follow-up and 1.61% after the second. Yet 334 of 576 campaigns (58%) never sent a follow-up.
Neither supports the famous “80% of sales come after the fifth follow-up”. We traced that one to a 1942 survey of fewer than 40 people: read the Brew Strength check. Our house rule: plan two follow-ups, then change channel or stop.
What to put in a follow-up email
- Reply in the same thread, so the buyer sees the first email under it.
- Add one new thing: a useful fact about their problem, a short answer to a likely question, or a smaller ask.
- Keep it short. The same rules as a first email apply: see our 80-word cold email template.
- End with one easy question. Not three, and not a calendar link with no context.
- Never guilt-trip. “Just bumping this” and “Did you see my email?” add nothing.
Sales follow-up email templates (copy and paste)
Template 1 · First follow-up after no response (about day 4)
Hi [First name],
One thing I should have added: [one useful fact or link about their problem].
Worth a 15-minute look next week?
[Your name]
Template 2 · Second and last follow-up (about day 9)
Hi [First name],
I will stop here so I do not clutter your inbox.
If [problem] becomes a priority, reply with a 1 and I will send the two-page summary.
[Your name]
Template 3 · Follow-up after a sales call
Subject: Next step from our call
Hi [First name],
Thanks for the time today. What I heard:
- [their problem, in their words]
- [what a good result looks like for them]
Next step we agreed: [action] by [date]. I will send [item] by [day].
Anything I missed?
[Your name]
One warning: never invent a result or a deadline to force a reply. If you have nothing new to add, a short close-the-loop email (Template 2) is more honest and often gets the reply anyway.
Use it this week
- Pick five prospects who went quiet in the last two weeks.
- Send Template 1 to each, with one fact that is genuinely about them.
- Note the day each one replies. After a month, your own numbers beat any statistic, including these.

Questions people ask
How long should you wait before sending a follow-up email?
About three working days. In Emailchaser’s 2026 data on 1,877 cold email replies, 79% arrived within 24 hours of the email they answered and 91% within three days (vendor data). After three days, more waiting rarely brings a reply on its own.
How many follow-up emails should you send?
Plan two, then change channel or stop. Backlinko and Pitchbox (2019, 12 million emails) found three or more messages got the best response rate, and Emailchaser (2026) found two follow-ups nearly doubled the share of people who replied. No good study supports a magic number like five or twelve.
What do you say in a follow-up email after no response?
Add one thing the first email did not have: a useful fact, a short answer to a likely question or a smaller ask. Keep it to a few lines, stay in the same thread and end with one easy question. Avoid “just bumping this”, which gives the buyer no new reason to reply.
Is it rude to follow up on a sales email?
Not if each email is short, useful and clearly yours to stop. Many replies only come after a follow-up: in Emailchaser’s 2026 data, about 30% of all replies came from a follow-up, yet 58% of campaigns never sent one.
